What does a Day-of Coordinator Actually Do? Behind the Scenes of what WE do on YOUR wedding day!

You hired a coordinator. Awesome! We think this is a really smart move (and not just because we are coordinators)! Depending on what type of package you landed on, you have likely been working with them for at least a few months. Countless emails, phone calls, timeline prep, vendor meetings, design research, confirmations… the list goes on! In preparation for your wedding, we help with general organization and then take over just before the big day to help iron out all of the last-minute details.

You already have an understanding of what day-of coordinators do to help prepare you for your wedding day. But, you are probably still wondering what do they actually do ON the wedding day!? Well, let’s take a quick dive into what a typical wedding day looks like for your coordinator.

A coordinator’s main job on the day is to ensure that everything runs as smoothly and according to plan as possible. We manage your timeline, vendors, and handle any problems that may arise (as discreetly as possible of course). We are also the liaison between the venue, food manager, decorators, MC, DJ, photographer, and parents. A coordinator pulls the pieces of the puzzle together. This also means that you could arrive at a perfectly set up ceremony and reception space, since your coordinator would have already arrived in advance to make sure everything is properly set up.

Here is a quick sneak peek into what our duties are on the actual wedding day…

  • We arrive and collect your marriage license, any final payments, and tips for vendors (phew- now you don’t have to think or worry about those)
  • We organize your room for the photographer to arrive. This means collecting any little details you want to be photographed: your dress, rings, jewelry, save the dates, personal sentimental items, etc..
  • We receive floral deliveries
  • Upon arriving to the venue, we do a weather check
  • We oversee all vendor set up and breakdowns
  • We personally handle any setup not covered by vendors of both your ceremony and reception
  • We personally handle any vendor hiccups that arise throughout the day
  • We help manage any venue logistics
  • We ensure everything is on time
  • And, most importantly, we keep you, mom and all your guests CALM!

I cannot tell you how many weddings I have been to where the bridal party and close family are running around and stressing because the couple did not hire a wedding coordinator.
