How to Prepare for your Wedding Consultation

You’re Engaged, Congrats! What a huge milestone. In the excitement of your engagement, you have likely started some research for your big, special day! Feeling overwhelmed!? That’s totally normal there is A LOT to think about and A LOT of information out there. The good news is we are here to help!! 

Hiring a wedding coordinator to help you sort through all the moving parts that go into a wedding is a great way to start your planning process. Our first bit of advice would be to schedule a consultation to get to know your coordinator and ask any, and all the immediate questions you have about your wedding and planning.

We are firm believers that the couple and the coordinator must be a good fit for each other, especially when planning a destination wedding. We will spend a lot of time on the phone, emailing, and video chatting over the planning period. So let’s make sure it’s going to be a pleasant planning process for everyone! 

What is a Wedding Consultation!?

It’s just a friendly chat! In this meeting, we can chat about anything wedding-related and what services we can provide you with. This is your opportunity to ask questions, so do it! 

We will use this time to get to know you, tell you a bit about us and our coordination packages, explain what it is we offer, and what we will do for you on the day of your wedding day. The beginning of the planning process may feel a bit overwhelming, but that is completely normal. We hope our chat can provide you with the confidence you need to move through the planning process.

As we mentioned this relationship works both ways. So, your consultation with ABC is ALSO an opportunity for our team to ask you some questions so that we can provide you with the most accurate quote based on your planning needs, and budget, and of course, check our availability for your wedding date.

Here are some tips on what to bring to this meeting and  how to prepare for your wedding consultation:

  • Wedding Date – What is your preferred wedding date? You likely already have this set and is one of the most important details to start with. If you haven’t nailed one down yet, don’t stress. However, a general time frame is strongly suggested to be sure we are available
  • Budget & Location – Know how much you have in your budget and how much you can expect to spend based on your location (and venue) of choice. Do some research beforehand so you have an idea of what to expect for the cost of your Hawaii. Location (island), guest count, and venue type will be the biggest contributing factors to your overall wedding costs. Then sit down together and discuss a realistic budget. Believe us when we say a wedding budget talk is much better had just the two of you before we meet than in front of us at the consultation. We just recommend having a general idea and then we can provide further clarity and insight for you during our chat! Check out our budget guide for Here!
  • Approximate guest count – It’s important to have an approximate guest count, why? Mostly for budgeting purposes but it can also affect your venue and vendor choices. We also base our package cost on guest count so this will be helpful for us in providing an accurate quote for our services for you! (you will find other vendors often also base their quotes off of guest count)
  • Vendors – Have you booked any vendors? Have you started researching vendors? Are there any that you like? We will  You likely already have an idea of some vendors you would like for your big day (again, if not, don’t stress – vendor recommendations are our specialty!!!). Getting to know you in your wedding consultation will allow us to help you figure out vendor recommendations that will be the best fit for you.
  • Questions – Bring any and all your questions! We will do our best to answer as best as we can, can’t wait to help you gain some clarity.
  • The Booking Guide – Still need help!? We strongly suggest working through our Booking Guide before you have your consultation to give you a better idea of what your coordination needs are and the possible package type will be.
