In preparing from each wedding day, we as coordinators try to plan with all vendors as much as possible to accommodate the couple’s wishes. We work extensively on their timeline to assure all their wishes are met, and on time at that. Often times we find ourselves with a tight schedule, working around contracted hours of photographers and videographers, so we plan accordingly so the day can be perfectly in sync. What happens when there has to be a change of plans?
We don’t panic! Whether it be working around a vendor being late, the bridal party needing more time, or even pleasing the couple, we do whatever it takes to accommodate everyone we’re working with. This past wedding weekend was a great example of that.
The day before the wedding, the couple shared with us a very long list of changes and additions to their wedding day, which gave us a challenge off the bat! We knew we could handle it, and that we did. On the wedding day, we were working with a limited time for set up, which we managed and kicked in the butt! Everything was running smoothly. As the day went on however, time was running short with the couple, and extensive photographs and pit stops had to be bypassed. When it came to the reception, we made the calls to shuffle around events to assure that the most important ones were being caught on film and camera, while the others were more for the guests to enjoy.
Our couple found that with the extensive plans they had made for reception, it was quite a lot to incorporate with lower energy and restlessness of their group. They made the calls, we followed, and it turns out their plans completely changed with our help. Dancing and having fun was their only priority at that time of the night, and we cut out the fluff of their program to accommodate their desires. They realized that going out of their way to please their family and guests with lots of involvement and games wasn’t in their interest at the time, so we made sure they were happy and got what they wanted.
The lesson goes that you never know what will happen on the wedding day, and as much planning goes into it, you must be flexible and willing to go with the flow. The night went off without a hitch, regardless of all the changes, and the family and couple were very pleased. Having a coordinator on site is such a benefit to times like these, and can really make sure everyone is on the same page.
